A typical implementation takes 2–4 weeks depending on your organisation size, the number of locations, and how much historical data you need migrated. We run a structured onboarding: data import and configuration in week one, manager training in week two, and a soft launch with parallel running in week three. Larger deployments with complex pay rules or multi-location setups may take longer, and we'll give you a concrete timeline after the scoping call.

Yes. We import employee records, roles, departments, holiday balances, and pay rates from CSV files or directly from most HR and payroll systems. Right-to-work documents and training records can be bulk-uploaded into the onboarding vault. We map your existing data fields to the platform during implementation so nothing is lost in transition.

Yes. Dynamic EMS is built and headquartered in the Isle of Man. The platform supports Isle of Man tax codes, NI calculations, and employment regulations out of the box. The platform also supports UK and Republic of Ireland compliance for businesses operating across jurisdictions. Our team stays current with legislative changes across all three regions.

Every employee gets a personal dashboard where they can view upcoming shifts, check holiday balances and accrual rates, submit time-off requests, request shift swaps with colleagues, update personal and bank details, and access assigned training. Employees do not need to contact a manager for any of these actions. The self-service portal is available on web, iOS, and Android.

Dynamic EMS supports three clock-in methods: a shared-device kiosk page (a tablet or laptop on the floor where employees tap their name — no login required), the mobile app with GPS location capture, and manual manager entries for missed punches. The kiosk page works offline and syncs automatically when connectivity returns. GPS coordinates are recorded with each clock-in for location verification.

Support is available 24/7 via email and phone. Every customer gets a dedicated implementation contact during onboarding and ongoing access to our support team for configuration changes, troubleshooting, and questions. The DORIS AI assistant is also available inside the platform for instant answers to policy and HR queries, with citations to the source documents.

Dynamic EMS handles payroll preparation: timesheet validation, overtime calculations (OT1 weekday and OT2 Sunday/bank holiday), holiday accrual, and one-click CSV exports for Sage 50 and Sage 200. For Isle of Man customers, a direct online payroll API integration is available. Full end-to-end payroll processing (running payslips, tax submissions, year-end) is on our roadmap as Dynamic OmniPay — currently in early access. The platform is ISO 27001 certified with 256-bit encryption in transit and at rest. Access requires authentication, with optional TOTP two-factor authentication. Bank details are masked by default and only revealed to authorised managers in an edit flow. All sensitive actions (profile changes, contract signatures, sick leave, bank detail updates) are recorded in append-only immutable audit logs. Right-to-work documents are locked as append-only once submitted.
