EMS Update

What We Learned from Operational Teams, and How It Shaped Dynamic EMS 2.3

Dynamic EMS 2.3 is our biggest update of the year, built around feedback from operations directors, HR leads, and site managers. Outlook calendar sync, a modular drag-and-drop dashboard, 360-degree appraisals, a centralised asset register, and deep mobile upgrades — all designed to make running a workforce feel effortless.

"Today, we have released Dynamic EMS® 2.3 across web, iOS, and Android. It is our biggest update of the year, designed around a simple goal: making the daily rhythm of running a workforce feel effortless, transparent, and dependable. If you have ever managed a growing team across multiple sites, you already know the familiar chaos of a typical Monday morning. You are toggling between your email calendar and three separate spreadsheets. A supervisor is chasing an unsigned contract. Someone has realised a new starter begins on Wednesday, but IT was never notified to allocate a laptop. Meanwhile, your manager dashboard is cluttered with numbers you do not need, whilst the few metrics that actually keep your operation running smoothly are buried three clicks away. Workforce management software should remove that friction, not add to it. Over the past few months, we spent dozens of hours listening to operations directors, HR leads, and site managers about what genuinely slows them down during the working week. Here is the story behind what we built and why it matters."

1. Bringing Your Workforce Milestones to Where You Already Work

One of the loudest pieces of feedback we received was simple: "Please stop making me check two different places to know what my team is doing." Operations managers practically live in Microsoft Outlook. When appraisals, probationary milestones, and start dates only exist inside an HR portal, important dates inevitably get missed. With Version 2.3, we have introduced native, two-way Microsoft Outlook Calendar synchronisation. Instead of an all-or-nothing data dump, you have complete control over what reaches your diary. You can choose precisely which events to sync, whether that is review deadlines, new starters, departing team members, or employee work anniversaries. You can filter by department, location, or job role so you only see the people you actually look after. You can choose whether events land directly in your main calendar or sit cleanly in a dedicated "Dynamic EMS Events" secondary calendar layer that you can toggle on or off whenever you need focus. Everything synchronises quietly in the background every 15 minutes, with instant sync triggers whenever you need immediate alignment.

2. A Manager Dashboard That Adapts to You, Not the Other Way Round

Most management dashboards force everyone into the exact same rigid view. But a head chef monitoring attendance on a kitchen tablet needs very different information from an HR director tracking compliance and annual turnover from a desktop. In Dynamic EMS 2.3, we completely rebuilt the manager workspace with a modular, drag-and-drop widget layout. You can now resize, rearrange, or hide any of our eight operational widgets: Workforce Snapshot (who is on site, who is scheduled, and who is on leave right now), Priority Action Queue (immediate alerts for unsigned contracts, missing profiles, or overdue reviews), Staff Retention and Tenure (service length breakdowns, turnover trends, and upcoming work anniversaries), Onboarding Pipeline (live candidate tracking through background checks and upcoming start dates), Training and Compliance (course completion rates, pending evidence, and expiring Right-to-Work documentation), and Company Broadcasts (urgent shift announcements and team notices). Your customised layout saves automatically to your profile, meaning your workspace looks and feels consistent whether you are on your laptop in the office or on a tablet on the floor. And if you ever prefer the classic view, you can switch back to the legacy layout with a single tap.

3. More Meaningful Appraisals and Conversations

Performance reviews often feel like a stressful, end-of-year box-ticking exercise. We wanted to help organisations turn them into continuous, collaborative conversations. Version 2.3 introduces 360° multi-rater peer feedback. Managers can easily invite peers across departments to share balanced observations on strengths and growth areas, with built-in anonymity options to encourage genuine, constructive honesty. We have also added Employee Self-Assessments, so team members have their own portal to reflect on achievements and save drafts before sitting down for their review. Dynamic Goal Progress uses interactive sliders that pull active milestones directly into the evaluation, making discussions grounded in real progress. Branded PDF Reports generate beautifully formatted, confidential appraisal summaries complete with your company logo, competency scores, and manager notes. And our built-in assistant, Doris, now uses real-time streaming to summarise 360-degree feedback trends and review statuses conversationally.

4. Knowing Where Your Company Property Actually Is

Chasing down company equipment during an employee departure is one of the most frustrating parts of offboarding. Dynamic EMS 2.3 introduces a centralised Asset Register to track physical company property from the day it is handed over to the day it is returned. You can catalogue laptops, mobile devices, specialist tools, uniforms, security passes, and fleet vehicles with unique tags, serial numbers, and condition notes. When it is time for an employee to move on, the system automatically alerts managers if unreturned assets are still assigned to their name, preventing costly equipment losses.

5. Mobile Tools Designed for Real-World Field Conditions

If software only works well when you are sitting at a quiet desk with perfect Wi-Fi, it fails the people who need it most. Our native iOS and Android apps have received deep architectural upgrades. App Icon Notification Badges give you clear visual badges on your phone's home screen to alert you immediately to unread messages, shift swap requests, and approvals. Native System Sharing lets you share contracts, training certificates, and schedules directly through your phone's native Share Sheet via AirDrop, Email, WhatsApp, or Print. Persistent File Downloads mean exported PDF reports and payroll sheets save directly to the native iOS Files app and Android Downloads folder. Resilient Offline Syncing ensures that if an employee clocks in while working in a basement or an area with spotty coverage, the app queues the punch locally with verified GPS coordinates and syncs automatically the second connectivity returns, with built-in deduplication so double-taps never cause payroll errors. And Touch-Friendly Controls adjust form heights and input scaling across the board, eliminating those frustrating accidental screen zooms when tapping date selectors on mobile browsers.

6. Removing Everyday Administrative Headaches

Sometimes the most valuable updates are the subtle ones that simply remove daily annoyances. A Universal Business Timezone Engine means all rosters, time-clock logs, contracts, and push notifications now normalise strictly to your organisation's configured business timezone (such as London / GMT), eliminating daylight saving confusion once and for all. Draft Timesheets let employees log notes and build their timesheet entries gradually throughout the week before submitting them for final supervisor sign-off. And Real-Time No-Show Tracking means attendance reports instantly compare scheduled rosters against active punches to highlight absent staff automatically.

"Technology should give time back to leaders, not consume it. Dynamic EMS® 2.3 is built to give you total confidence that your team is scheduled properly, your equipment is accounted for, your compliance is watertight, and your milestones are synchronised. Version 2.3 is live today. If you are an existing user, your web workspace is already updated, and you can download the latest mobile app from the Apple App Store or Google Play Store. Take a look around your new dashboard, explore the interactive User Guide in your navigation bar, and let us know what you think. We are always listening."
